Welcome to the Spring Hill Invitational Music Festival at Woodland Spring Middle! We are proud to share our facilities and staff with you for the festival. Every effort has been made to ensure that the festival runs smoothly and that it is a positive experience for students, directors, and parents. Please feel free to contact Dan Wooge, or any of our other fine arts staff, if there is anything we can do to make your stay more enjoyable and educationally rewarding. We hope you have a great day at the festival and best wishes to all participants.

Festival Policies
Supervision
Directors are responsible for their students at all times during the festival. “Students must be adequately supervised. Extra adult supervisors should be used if necessary.”
Music Literature
“Large groups shall be required to perform 2 pieces or one multi-movement piece. Solos and small ensembles will perform one piece. Schools must furnish judges’ scores, with all measures marked.
Other Regulations
- Photography - “No photography will be allowed in performance rooms during festivals”
- Video and Audio Recording - “No commercial recordings of any kind, audio and/or video, will be allowed in performance rooms during festivals. Personal recordings, audio and /or video will be allowed in performance rooms.
Registration & Payment
Registration closes on Friday, March 8, 2024 at 11:59 p.m.

Festival Procedures, Band/Orchestra

Bus Drop Off & Loading Area
All groups are to be dropped off at the NORTH side of WSMS. Buses should drop off students on the NORTH side of the school and then park in the north parking lot. Students will follow the sidewalk to the north entrance where they will enter and go to their homeroom. Once again signs will designate these areas.
Performance Location & Schedule
Large instrumental performances will be held at Woodland Spring Middle - in the Gym. Large groups will warm up in the band room. Please wait to enter rooms until you are escorted. Solos and Small ensembles will perform in designated classrooms, and warm up in a classroom that will be labeled. Please follow the schedule as much as possible.
Ratings
At Woodland Spring Middle, ratings will be posted on a regular basis on the display cases just down from the Tabulation office. Critique sheets will only be given to directors and can be picked up from the Festival Headquarters.
Instrumental Directors and Students
Students may bring concert attire to the classroom (homeroom) that will be marked. Students must use the designated restrooms for changing. Personal belongings should remain on the bus or in the classroom. Spring Hill Schools is not liable for any unattended item that is lost or stolen. Groups will not return to the warm-up area after their performance.
Festival Headquarters and Hospitality Room
A hospitality room will be available to directors, accompanists, bus drivers, administrators, and group supervisors. Signs will indicate the location of the hospitality room
Instrumental Equipment Provided
Chairs and stands will be provided in both the warm-up rooms and performance rooms. A director’s podium will be provided in the performance room only.
Percussion Equipment Provided (Available in the Gym only)

Please use the proper mallets on provided equipment. Mallets, beaters, sticks, cymbals or snare drums will not be provided.

Vocal Directors & Students
Students may bring concert attire to their homeroom (holding area). Students must use the designated bathrooms for dressing. Consider arriving in performance clothing as these bathrooms are not large. Personal belongings should remain on the bus or in the homeroom. Spring Hill Schools is not liable for any unattended item that is lost or stolen.
Festival Headquarters & Hospitality Room
A hospitality room will be available to directors, accompanists, bus drivers, administrators, and group supervisors. Signs will indicate the location of the hospitality roomVocal Equipment Provided
A director’s podium and stand, upright piano, and 6 sections of 3-step risers will be provided on the performance stage. Including the floor, that totals 4 levels for students. The warm-up area will only have a piano and one stand. Warm up for solos will be indicated on the map as warm up rooms.
Music Literature
Schools must furnish judges’ scores, with all measures numbered.
- Large Vocal Groups - sing two selections.
- Small Vocal Groups - sing one selection.
- Vocal Solos - sing one selection. Memorization of solos for students performing solos are encouraged, but not required.

General Festival Procedures
Adjudication Sheet & Ratings
Directors are responsible for collecting all of their music, scores, adjudication sheets, and certificates before leaving the festival site. Adjudication sheets will be available for directors to pick up from the Festival Headquarters as soon as the rating has been posted. Only the director or official school representative is to pick up rating sheets.
Audio Backing Tracks
Directors are responsible for providing any necessary backing tracks for students. The host school will provide a speaker with an auxiliary cable for each solo room, but directors are highly encouraged to bring their own equipment to avoid technical errors or a delay in the schedule.
Audience Members
The audience should be courteous and respectful to performers at all times. We encourage you to have your groups listen to as many other performances as you possibly can. The real value of attending a music festival is in hearing the music performed. Students are very adept to evaluating musical performances. The educational value to the students is enormous.
Medical Emergency
Please notify any Spring Hill staff member in the case of an emergency.

There is no direct line to the Festival Headquarters. The main Spring Hill Schools phone number is (913) 592-7200, and the main WSMS phone number is (913) 592-8188. Office hours are 7:30 a.m. to 4:00 p.m.
Mitchell Brumley’s cell phone is (913) 952-4792, Julie Pape's cell phone number is (918) 697-7194, Mikaela Crotchett's cell phone number is (913) 709-8872, but there is sparse service at the school. Do not count on an answer.
Tobacco and Controlled Substances
Use of tobacco and nicotine products (in any form) and/or controlled substances is strictly prohibited at all festival sites and on all school property.
Food and Drink
There will be a concession stand available with snacks and drinks. Please take all concessions to the commons/cafeteria area to consume. If you get a snack from your homeroom, please take it to the commons to consume. In addition, food and drink are not allowed in the warm-up areas, auditorium, or Gymnasium.
NO LUNCH will be available for participants at the festival. Groups should plan on making their own arrangements for lunch.
Lost and Found
A “Lost and Found” will be maintained in the Festival Headquarters. Please check in the Festival Headquarters for missing items.
Holding Areas
Please observe the following information concerning the use of the holding areas:
- A responsible adult from your school must be in your area at all times while you are using this area.
- Please pick up trash left by your group when you leave the holding area.
- Personal belongings are your responsibility. Do not leave valuables alone.
- Students are not to change clothes in the holding area. Dressing rooms are available in the designated restrooms.
- Spring Hill Schools is not responsible for any lost, stolen, or damaged items.
- Please consume snacks and drinks in the commons area.
Holding areas (homerooms) will be designated by signs and on the festival map.
